The Dear Dyslexic Foundation (DDF) is committed to protecting your privacy. This Privacy Policy describes how we may collect, hold, use and disclose your personal information.

This Privacy Policy may change from time to time. Any updated versions of this Privacy Policy will be posted on our website and will be effective from the date of posting.

What is personal information?

When used in this Policy, “personal information” has the meaning given in the Privacy Act 1988 (cth).

Generally, “personal information” is any information or an opinion from which your identity could reasonably be ascertained. It may include things like your name, address, date of birth or email address. In some cases, with your consent, we may collect health information about you, such as your medical history.

The choice of how much personal information you provide to us is yours, but if you want to register as a member of our website, order printed resources, make a donation, or otherwise participate in our programs and events, we require certain information from you in order to provide those services.

How do we collect personal information?

We may collect your personal information when you interact with us, including when you:

• interact with us directly in over the phone or in-person; or
• interact with us by email or online, including when you visit our website and social media channels.

Wherever possible, we will try to collect personal information from you directly, rather than from another person or source, unless it is unreasonable or impractical to do so.

When you access some of our websites, we may send a “cookie” (which is a small summary file containing a unique ID number) to your computer. If you do not wish to receive cookies, you can set your browser so that your computer does not accept them.

Where possible, you have the option of interacting with us anonymously or using a pseudonym if you feel more comfortable dealing with us that way. For example, if you contact us by telephone with a general question we will not ask for your full name unless we need it to answer your question.

How do we use your personal information?

We will only use your personal information if we have a lawful reason to do so. This may include when we have your consent or when it is necessary to communicate with you and to provide services to you, and for the administration of DDF.

In particular, we may use your personal information to:

• enable you to join our website;
• enable you to make a donation;
• enable you to register as a DDF Ambassador or Speaker;
• enable you to order resources from us;
• enable you to receive information about or become involved in our programs, campaigns or other initiatives; and
• enable you to sign up to our newsletter.

When do we share your information?

We may share your information with other parties who provide services to us, including organisations, agents, partners and contractors that assist us with the operation of DDF, and the provision of services by DDF. For example, we may disclose your personal information to our:

• service providers that host our website servers
• marketing service providers
• professional advisors (such as accountants, auditors and lawyers).

We may also disclose your personal information if:

• you have consented to the disclosure
• where disclosure is necessary to prevent injury to life or health; or
• it is required or authorised by or under an Australian law or a court/tribunal order.

We only disclose your health information for the purposes for which you gave it to us, or for a directly related purpose you would reasonably expect, or if you agree.

Our website uses Google Analytics, a service which transmits website traffic data to Google servers in the United States.

Your data may also be available to our website provider to enable us and them to deliver their service to us, carry out analysis and research on demographics, interests and behaviour of our users and supporters to help us gain a better understanding of them to enable us to improve our services. This may include connecting data we receive from you on the website to data available from other sources. Your personally identifiable data will only be used where it is necessary for the analysis required, and where your interests for privacy are not deemed to outweigh their legitimate interests in developing new services for us. In the case of this activity, the following will apply:

1. Your data will be made available to our website provider 
2. The data that may be available to them include any of the data we collect as described in this policy.
3. Our website provider will not transfer your data to any other third party or transfer your data outside of the EEA (European Economic Area).
4. They will store your data for a maximum of 7 years.

Security of your personal information

We take reasonable steps to ensure the security of all information we collect, including that the information is protected from misuse and loss and from unauthorised access, modification or disclosure. However, no data transmission over the internet or information stored on servers accessible through the internet can be guaranteed to be fully secure.

In addition, we take reasonable steps to destroy or de-identify your personal information once we no longer need it.

Accessing and correcting personal information

You may request access to your personal information collected by us, and ask that we correct that personal information. You can ask for access or correction by contacting us and we will usually respond within 30 days.

If we refuse to give you access to, or correct, your personal information, we will notify you in writing setting out the reasons.

Complaints about your privacy

If you believe your privacy has been breached or you have a complaint about how we have handled your personal information, please contact us in writing. We will respond within a reasonable period (usually within 30 days).

If you are not satisfied with our response, then you may lodge a formal complaint with the Office of the Australian Information Commissioner (for more information, please see www.oaic.gov.au).
